City Living manages sectional title complexes in Cape Town.

We work closely with our experienced and well-established partner Pretor Group

Pretor Group have been in the property management services industry for over 65 years and manage over 500 complexes comprising more than 56 000 homes, including some of the largest sectional title communities in the country.

Trustees receive a comprehensive monthly financial pack.

These documents are updated as each transaction is processed and are available online at any time to trustees and owners via the Pretor Group portal.

We also proactively review and manage clients’ funds to ensure they are timeously invested to attract the best possible interest for their complex.

For peace of mind, we have valid Fidelity Fund Certificates with the Property Practitioners Regulatory Authority.

Administrative

1. Operation of a current account and a savings account in terms of section 32 of the Estates Agents Act or HOA Constitution.

2. Preparation of the monthly management reports.

3. Assisting the board of trustees in the determination of replacement values of improvements for insurance purposes and arranging for valuations where required.

4. Arranging for the insurance of buildings and improvements and any other insurance the body corporate / HOA may require.

5. Handling insurance claims on behalf of the body corporate/HOA in regard to the common property.

6. Assisting and advising the board of trustees on enforcement of the rules adopted by the body corporate / HOA on specific instructions from the trustees.

7. The collection / receipt of levies and / or other income due to the body corporate / HOA as advised by the trustees.

8. Verification and payment from available funds of all accounts payable by the body corporate / HOA.

9. Payment of salaries wages, SITE unemployment insurance fund and workmen’s compensation on the dates and in the manner determined by the managing agent.

10. Attending to the collection of arrears.

11. Attending the annual general meeting.

Secretarial

1. Arranging and minuting the annual general meeting.

2. Storing the minute books, attendance registers the register of sectional bondholders, sectional plans, rules house rules insurance policies and all other permanent records of the body corporate / HOA.

3. Assisting and advising the body corporate / HOA on procedural matters such as general meetings, special general meetings, quorum’s, proxies, resolution, voting rights.

4. Attending to proxies, nominations and agendas.

5. Preparing and dispatching notices as required by the Act and the Management Rules / Constitution of HOA.

Accounting / Audits

1. The preparation of an annual estimate of income and expenditure for submission to the board of the trustees and the body corporate / HOA for approval and the determination of monthly levies.

2. Monthly review of the estimate of expenditure.

3. Keeping full reports of the administration.

4. Preparation of an annual income statement and balance sheet for auditing purposes to be submitted to the auditors.

5. Arranging the annual audit with the auditor of the body corporate / HOA and on completion submission of the audited statements.

Maintenance

1. Advising the board of trustees on the maintenance of the common property.

2. Negotiating on behalf of the board of trustees with professional persons, firms or other organisations for the drawing up of specifications for maintenance work to be done on the common property, excluding improvements.

3. Negotiating on behalf of the board of trustees with outside contractors to do work or perform services on the common property, excluding work on capital improvements.
