Log a maintenance issue

To do this.

- And then please provide as much detail as possible, plus photographs (where possible), so we have full details to supply to the owner and the contractor.

Account queries
1. Lease: Please be ready to sign the lease within 48 hours of acceptance, as the owner would need to offer the property to the next best applicant if it is not signed submitted within 48 hours.
2. Deposit: Have your appropriate deposit ready. To secure the apartment for you the owner would need it paid within 48 hours i.e., the same timing as the lease signature.
3. EFT Lease Application Fee: This is paid upfront and is non-refundable. It includes the processing of the application and the TPN Credit Check.
4. Monthly Rent: Know that owners expect the rent plus any municipal charges to be paid to us before the 1st monthly so we can pay the owners on the 1st. It is always important to keep a good relationship with all the Landlords!

Commonly asked questions.
How does the lease application process work.
Our goal is to keep the application process as easy and as fast as possible for you.
To target a successful application, please can you complete the application form and supply 100% of the paperwork listed on the application form within 24 hours, because then we can complete this process for you within 48 hours.
If there is missing paperwork, it will slow down the process and we don’t want this! 😁
(Tip. Naming & numbering paperwork means fast processing).
The process is as follows.
1. First we will email you the
a) Application Form which lists all the paperwork required (this application form can be completed and signed digitally and does not need to be printed)
b) Application Fee reference number to be used for the Application Fee payment (you can EFT this to Pretor Group (our partners) FNB bank account. The bank details will be supplied by City Living Rentals)
2. Then, once the Application Form, 100% the paperwork and Application Fee proof of payment is returned on email by you; our Finance team will have a look and then give the green light to proceed with the TPN credit check
3. After the credit check is done and the result is positive then we will do the other follow-ups which would include calling your employer and rental agent to confirm the details
4. Once this is complete then we will get the final go-ahead from the owner and issue the lease
5. To secure the apartment for you we will request the lease to be signed and the deposit to be paid within two days (48 hours) of the lease being issued
6. The incoming inspection and key handover will be done on or around month end (or as agreed with all parties) after you have paid the first month’s rent, plus paid the deposit, and signed the lease
What paperwork is needed when applying for a lease.
If you wish to apply after viewing, for us to expedite the process for you please can you email these documents through (as per the Application Form):
- Completed application form. (Tip. No need to print. It can be filled in digitally)
- RSA IDs or Passports (If you have a foreign passport, please supply a valid work permit also)
- Proof of current address
- Last 3 months’ payslips (To qualify for your lease please note your gross joint monthly income must be at least 3x the monthly rental. E.g., if the rent is R10,000 then your gross income must be at least R30,000)
- Last 3 months’ bank statements
- Proof that your current rent has been paid on time for the last 3 months (e.g., a line item on a bank statement)
- Application Fee proof of payment (non-refundable).
Cash flows needed when applying for a lease.
All these cash flow details are also shown on the Lease Application Form (the link to this form is at the top right of this page).
To ensure your application is considered and you and City Living Rentals are comfortable with the cash flows, please be aware of the following:
1. Deposit: Payment is required within 48 hours of lease issue, that is the same timing as the signature of the lease
- EFTs only please as we don’t accept cash
2. Rent: The first months’ rent (before key handover) and all the subsequent months’ rent is paid in advance and must be in the City Living Rentals account by the 1st of the month.

3. Affordability: If you are interested in applying then your combined gross monthly income must be at least three times the monthly rental
- For example, if the monthly rent is R10,000 then your combined gross income must be R30,000 per month
4. Application Fee: Application Fee (paid upfront and non-refundable). This covers the cost of TPN credit check
5. Lease Admin Fee: An all-in lease Administration Fee
- This is payable to City Living Rentals on signing of your lease agreement
Paying your rent by the first of the month.
Paying your rent by the first is important, both to maintain good relationships with your agent and landlord, and also to ensure your lease is not placed in jeopardy.
It is a generalisation that you can pay your rent by the 7th. This really depends on whether your lease agreement makes provision for this.
The industry standard, including the City Living Rentals lease, requires you to pay in advance by the 1st to avoid being in breach of contract.
To ensure you receive a favourable reference from your current agent or property owner or to ensure the property owner agrees to renew your lease period, it is imperative to pay on time every month.
How does it work when it comes to utilities.
Remember that if you are using utilities, you are responsible for ensuring you pay these costs. Please always refer to your lease if you are in doubt.
It is also your responsibility to ensure that you are settling all bills that are contractually your responsibility, like electricity if this is supplied by the City of Cape Town or billed to you in arrears by the agent.
What if my payments are late or become overdue.
Please be aware that penalties may be charged for overdue payments and if late payments persist it becomes the landlord’s prerogative to cancel your lease forthwith and require you to vacate.
This is apart from any legal action to recover arrears.
You may also have your credit record tainted with listings of overdue payment.
You will find that most landlords and agents are generally understanding regarding hitches in getting your rent paid on time if its a once off, as long as this is not on an ongoing basis.
